Held Within Retreats — Terms & Conditions

Booking & Deposit

A fixed non-refundable, non-transferable deposit is required to secure your retreat booking.

The remaining balance must be paid in full no later than 6 weeks prior to the retreat start date unless otherwise agreed by Held Within Retreats.

Bookings made within 6 weeks of the retreat start date must be paid in full at the time of booking.

Held Within Retreats reserves the right to cancel a reservation if outstanding balances are not received by the agreed payment date.

Cancellation Policy

In the event of cancellation by the guest, the following refund policy applies excluding the non-refundable deposit:

• Cancellation more than 14 weeks before retreat start date — 100% refund of remaining balance
• Cancellation 10–13 weeks before retreat start date — 50% refund of remaining balance
• Cancellation 7–9 weeks before retreat start date — 25% refund of remaining balance
• Cancellation 6 weeks or less before retreat start date — no refund

Any approved refunds will be processed within 30 working days.

The retreat deposit is non-refundable under all circumstances.

Travel & Insurance

Travel insurance covering cancellation, illness, and unforeseen circumstances is strongly recommended.

Guests are responsible for arranging their own:
• Flights
• Passports and travel documentation
• Travel insurance
• Medical insurance
• Airport transfers unless otherwise stated

Held Within Retreats accepts no responsibility for delays, cancellations, missed transport, or travel disruption caused by airlines, airports, weather conditions, or third parties.

Health & Wellbeing

By attending the retreat, guests confirm that they and their child are physically and emotionally fit to participate.

Any medical conditions, injuries, allergies, dietary requirements, or additional support needs must be disclosed prior to the retreat.

Guests are responsible for seeking medical advice before participating in any movement, wellness, or retreat activities where necessary.

Childcare & Responsibility

Our childcare experiences are guided by experienced and qualified Early Years Practitioners and are designed to provide nurturing, hands-on, nature-based experiences tailored around children’s interests and needs where possible.

There is no minimum or maximum age requirement for children attending the retreat.

While childcare sessions and support are provided throughout the retreat, parents and guardians remain ultimately responsible for the supervision, wellbeing, safety, and behaviour of their child at all times.

Held Within Retreats accepts no liability for injury, illness, accidents, or incidents involving children during the retreat.

Retreat Environment & Conduct

Held Within Retreats is designed to create a calm, supportive, and respectful environment for all guests.

We kindly ask all participants to respect the retreat space, property, staff, fellow guests, and surrounding environment.

Unsafe, disruptive, offensive, aggressive, illegal, or inappropriate behaviour may result in removal from the retreat without refund.

Property Damage

Guests are responsible for any damage caused to the property, furnishings, or retreat spaces by themselves or their child during the retreat. Fees will be applicable in the event of any breakages or damage. 

Photography & Media

Photographs and videos may occasionally be captured during the retreat for promotional, marketing, website, and social media purposes.

Guests who do not wish for themselves or their child to appear in photography or media content may opt out by informing Held Within Retreats prior to the retreat start date.

Force Majeure

Held Within Retreats shall not be held liable for circumstances beyond our control including but not limited to natural disasters, severe weather, pandemics, government restrictions, flight cancellations, closure of airports, illness outbreaks, civil unrest, or other unforeseen events.

Should the retreat need to be postponed or cancelled due to Force Majeure circumstances, Held Within Retreats may offer guests a retreat credit or voucher for a future retreat experience.

Liability

Held Within Retreats accepts no responsibility for loss, theft, damage, injury, illness, accidents, or personal possessions during the retreat or whilst travelling to and from the retreat.

All retreat activities are participated in voluntarily and at the guest’s own risk.

Agreement

By booking a retreat with Held Within Retreats, guests acknowledge that they have read, understood, and agreed to these Terms & Conditions.
